STUDENT GROUP FLIGHT
INFORMATION AND RESERVATION FORM
Madrid, Spain FALL 2023 Semester

Frosch Student Travel has been appointed by the University Studies Abroad Consortium to provide an optional group flight to Madrid, Spain for your study abroad program. We will provide round-trip transportation on British Airways from Chicago to Madrid departing on September 02, 2023. Please register online above to join the group flight and we will email you an itinerary/airfare quote for review.

We also have flights from all other cities in the US to Chicago to connect you with group flight. Please continue to register online above and specify your preferred departure city to merge with the group flight on the reservation form under departure options as per instructions below.

Under departure options please select “other” and “depart from an alternate city”. The “from” box will appear and you may specify your preferred departure city to merge with the group flight. You may also choose to return from a different city in Europe. Please continue to complete the reservation form. Your card will not be charged until you receive and accept a fare quote. We will contact you regarding the fare upon receipt of your form. OUTBOUND FLIGHT ITINERARY

(Your luggage will be checked-in all the way to Madrid upon check-in.)

GROUP WILL BE MET BY A USAC REPRESENTATIVE UPON ARRIVAL AT MADRID AIRPORT. IF YOU ARE SCHEDULED FOR THE GROUP FLIGHT, BUT YOU DO NOT ARRIVE WITH THE GROUP BECAUSE OF CANCELLATIONS OR DELAYS OF CONNECTING FLIGHTS YOU ARE RESPONSIBLE FOR YOUR TRANSFER FROM THE AIRPORT.

GROUP RETURN FLIGHTS

We are offering a group return flight departing Madrid on December 20, 2023 and May 10, 2024.

MADRID RETURN

ROUND TRIP AIR FARE (inclusive of all taxes)

If the group flight does not meet your travel plans, you may register online above and specify your preferred departure city on the reservation form under departure options as per instructions below.

FLIGHT REGISTRATION AND DEADLINES

TICKET VALIDITY AND RETURN FLIGHT INFORMATION

• Your return ticket is valid until September 01, 2024 (1 year) from Madrid back to the city of your departure.
• We are offering a group return flight departing Madrid on December 20, 2023 and May 10, 2024. You may fly back with the group or you may opt to fly back independently on a different date from Madrid. Please specify your choice on the reservation form.
• Once abroad you are allowed to change your already confirmed return flight date with no change fees by contacting Frosch Student Travel by email. You will be responsible for fare difference (if any) for the change. Please note that all date changes are subject to availability of the flights.
• Once abroad any unused portion of your ticket is non-refundable.

CANCELLATION POLICY

We are offering a flexible cancellation policy in case you are not able to travel. You have the option to keep the credit of the ticket for future travel.

If you prefer to receive a refund for the ticket instead of keeping the travel credit, you may cancel at any time prior to departure for only $300. You would receive a full refund minus a $300 cancellation fee. 

YOUR TICKET DELIVERY

Your round-trip electronic ticket will be sent to the email address specified on the reservation form.

FINANCIAL AID STUDENTS

Please note that the following terms and conditions will be applicable to all passengers who are financial aid students.

May 26, 2023: Your reservation form must be received by Frosch Student Travel along with a payment of $400 as a deposit to secure your space on the group flight.

It is your responsibility to pay the balance payment of your ticket 3 weeks prior to departure date. Your ticket will not be released until you pay the full balance to Frosch Student Travel. You are responsible to follow up with the Financial Aid office and pay us 3 weeks prior to departure. Your Financial Aid office is not responsible for paying the balance of your ticket to us.

SEATING

PLEASE BE ADVISED:  We will provide free preassigned seating on available flights. Not all airlines allow free preassigned seating and will charge a seat fee per flight. You may also choose a free seat using online check-in 24 hours prior to departure or at the check-in counter at the airport to avoid any seating fees. 

BAGGAGE ALLOWANCE

You are allowed to check-in 1 free bag weighing not more than 50 pounds. The total dimensions of the bag must be 62 inches (length , width and height). You may also carry-on one bag not including a laptop, purse or small back-pack. The total dimensions of the bag must not exceed more than 45 inches (length, width and height).

All airlines are very strict about baggage allowance. Please do not try to check-in over-sized or overweight baggage as it may result in an excess baggage penalty at the airport.

Please note that you must be able to handle all baggage on your own. Traveling with light luggage will make your travels so much easier.
